Your CV resembles a Jenga game

I really enjoyed reading Peter Taylor’s (The Lazy Project Manager) blog about our services and particularly like his reference to CVs being like a game of Jenga towards the end of the game. This is a fantastic analogy and is so true of CVs being sent to me for review.

For those unaware of the game, basically it starts off as a tower of wooden bricks each layer placed across the next in opposite directions – the aim of the game is to take bricks out from the lower layers and add to the top of the pile without knocking the tower over. So as the game progresses the tower becomes unstable on the lower levels as gaps appear, the higher levels become top heavy with bricks which leads to eventual demise of the tower.

How very perceptive of Peter to describe a CV like this – as we work through assignments and change jobs we often add in detail to the CV but begin to lose consistency, we leave gaps further down the page, add in more and more detail working towards the top leaving the CV unbalanced and often lacking relevant information.

It is always good practice to revisit your CV on occasion regardless of whether you are thinking of making a career move or not – as it only became too apparent for a recent client of mine who had treated his CV like a game of Jenga then found himself made redundant. When I reviewed his CV it looked disjointed and in need of a great deal of work, he had made attempts to rework it but in doing so had managed to make it look very disjointed. When we talked through his feedback I teased out a number of interesting areas of work which he had failed to address in the CV and it quickly became apparent that he needed a sounding board to talk through his experiences enabling him to really draw out the kind of content which would see his CV placed on the top of the pile with recruiters.

As he had left it so long before working on the CV, he had forgotten a great deal of information and regretted not keeping on top of it. Also he now had an immediate requirement to get his CV out to recruiters and apply for roles as he was out of work – adding significant pressure to his already stressful circumstances.

After offering up key advice to him, he decided to have a go at rewriting his CV himself due to financial constraints, however after attempting to do this over the weekend he came back to me on the Monday asking if I could provide the CV writing service proposed.

Although it was not an ideal situation for him financially he had concluded that an investment in his CV would yield a much greater response from employers than he was currently receiving. So we worked together to really get to the crux of his core skill base and draw out achievements which demonstrate his ability to go above and beyond the call of duty – really emphasising his value to organisations.

The lesson to be learned here is that you should always have an up to date CV – don’t leave it until you are pushed to have to do something!

Example Project Management Cover Letter

Writing a cover letter seems to be a daunting act for so many – I have previously written about what to include but wanted to provide an example letter to assist you in gaining interest from potential employers. Cover letters should be tailored to each application and it is a good idea to spend time making sure you tailor your CV too. Unfortunately, gone is the day when one size fits all so taking time to apply for fewer jobs but putting more effort in will give you a better chance of success for generating interest and that all important interview.

Letter

Here is a fictitious job advert:

Project Manager required to manage a number of new product development projects within FMCG manufacturing, the successful applicant will have a good understanding of project management methods such as PRINCE2 and will have managed teams within matrix managed environments which are globally dispersed.

  • Exceptional project planning using MS Project
  • Manage resources across different cultures
  • Competent in PRINCE2 methods
  • Good client facing exposure
  • Extensive financial tracking and management responsibility
  • Comfortable providing monthly presentations to site managers and senior management teams

Of course the tailored letter for this role is only applicable to those with at least 90% of the above required skills and experience. This is a rule of thumb for all job applications; don’t waste your time applying for roles which are not relevant to you.

So a cover letter will go something like this:

Dear Sir / Madam (ideally try to get the name of the person you are applying to)

Please find enclosed my CV in application for the role of Project Manager as per your advert (reference CVR2905) advertised on XXXXXX.com.

I would like to draw your attention to my current role at XXXXX where I am responsible for managing up to 15 concurrent FMCG new product introduction projects, although PRINCE2 is not a process used at this organisation I have previously used this method at XXXXX where the business adopted a light version and all projects were managed through aspects of the project lifecycle.  I should also point out that during a contract position prior to this I implemented PRINCE2 methods into the core project management function within XXXXX.

All my roles have required extensive stakeholder management with internal and external parties based across the UK, Europe and USA. Most of my team management experience has been within matrix environments and where resources are globally dispersed. I am an advanced user of MS Project and have used this to plan projects for the past 10 years; I have held full P&L responsibility for all my projects with budgets ranging from £100k to £1.5m. I currently provide bi monthly presentations to our senior management team on project status, financials and forecasting – these are generally utilising Powerpoint and on site however I have also travelled to a number of our manufacturing sites for this purpose also.

So as you can see – the letter addresses all aspects of the job description with examples and tells the reviewer more than the CV allows as we only want a 2 or 3 page document which should be highlighting the above but may not have all that detail. This will greatly enhance your application and should do all the right things in getting the reviewer to really read your CV not just skim through it along with 100 other applications. It also does the trick of helping the HR / recruitment consultant understand your relevance to the role; bearing in mind that a great deal of these reviewers won’t always have specialist knowledge of the role.

Example Project Manager CV profile

So you’ve taken the first step and decided to update your CV, there are many example Project Manager CVs on the internet but none are aligned to your specific needs. Do not fall into the trap of merely stating you deliver projects on time and within budget – this is expected, however if you have been dealing with particularly difficult situations to achieve this then that is something which can be addressed briefly in the profile and further examples can be made in your key achievements. This kind of information is very interesting for hiring managers.

Here’s an example of a generic project manager profile for a CV:

“Project Manager with experience of managing multiple interdependent concurrent software projects within large organisations – boasting demonstrable experience of exceptional stakeholder engagement with both internal and external parties from technical staff through to board level. Currently managing globally dispersed teams within a matrix managed environment requiring a good understanding of cultural diversity.”

It is short and sweet and by adding in a little more detail about your situation you are clearly pitching your skill-set and level of experience to the reviewer. The profile should really not go on beyond a short statement, it needs to capture what you do and the rest of the CV is there for you to go into more detail and pick up all the other bits and pieces required for a job checklist.

Profiles can be tweaked for specific applications, however the core element wouldn’t change too much unless you are applying for something rather different from your current skill-set and this means that you may actually be applying for the wrong role. Just keep this in mind when you are tweaking your CV generally – you will harvest greater success with applications for roles most closely aligned to you core skills and experience.

Project Management Communications

Project management encompasses a large range of skills; leadership, planning, scheduling, communicating, decision making and being a visionary. Being able to identify these vital skills and fully develop your understanding of these abilities will ensure that you not only survive, but you excel within the field of project management.

Organisational skills

The role of a project manager takes on many forms, and due to this; organisation and planning skills are listed highly as required abilities. Of course there are very few professions that do not require extensive planning, but project management demands a highly skilled approach as a skilful execution equates to outstanding results.

Project management requires the preparation of project documentation, requirement information, memos, project reports, personnel reports, vendor quotes, contracts and the supervision of the entire processes involved. An essential part of daily working includes organising meetings, developing teams and also, in some cases, organising media relations such as press releases and conferences.

Methodologies such as the PRINCE 2 (an acronym for projects in controlled environments, version 2) enables project managers to organise and control the six major variable factors of any project, these factors are cited as:

  • Timescale
  • Quality
  • Scope
  • Risk
  • Benefits

Much of the benefit of the PRINCE 2 methodology is its transferable and highly scalable nature. PRINCE 2 can be utilised across any project, including highly specialised and industry specific models (engineering models or developmental lifecycles).

People management skills

Strong project managers should display excellent people management skills. The human dimension bears little relation to the technical ability of an individual, but closely relates to leadership, conflict resolution and ultimately communication. Author and expert within the area of project management Steven Flannes, actually cites that, 80% of project management success comes from people skills and 20% from technical expertise.

Why are people skills so vital?

  • The cyclical and stage nature of projects
  • Increase in complexity of client remits
  • Continual outsourcing of finite and cost effective resources
  • Increased movement toward client driven project management structure
  • Challenges of leading in matrix management structures
  • Increase of virtual team coordinated efforts

Communication skills

Often, problems that project managers are faced with are completely unrelated to their technical competence, but interestingly it is the lack of interpersonal communication skills that pose the largest threat. The latter of course is an essential facet, but is vitally a core skill of a project manager.

It is argued that project managers who demonstrate a high degree of technical expertise are actually hindered within their ability to negotiate. Often great project managers take a more generalist point of view. Generalists, typically, elicit a higher degree or resourcefulness and tend to lean toward being more open to suggestions and ideas. This in turn increases the momentum of a project due to the fact that compromises have a higher degree of continuity.

Adversely to this notion, experts within a particular field tend to display a narrower mind-set that may or not be conducive to the end result.

Financial skills

An exhaustive breakdown of project activities and associated costs enable the project manager to identify trends quickly and plan pro-actively. Although, no project manager is expected to be an accountant but a thorough understanding of the “estimated cost process” clearly would be listed as integral. Cost planning is not only vital for your reputation, but also for maintaining strong and healthy relationships with clients.

Estimated costs should take into consideration for the entire lifecycle of the project. A detailed cost breakdown of resources (labour and materials) along with any regulatory implications should be undertaken. The cost analysis process should also insure against other extraneous factors. An estimated cost analysis must include all factors fixed and variable; this will essentially ensure that the entire project runs efficiently, effectively and to budget.
